Trinity United Methodist Church

Trustees Meeting, August 6, 2013


Attending:  Dave Bybee, Mike Bean and Richard Dickson.

Just prior to start of the meeting at 7:30 pm, the trustees walked through the church, inspected the recent roof repair from across the street and checked the elevator.  The emergency call button was tested, and OMNI security promptly answered the phone.  As a follow-on, Mike related information he had obtained from the State of Idaho concerning inspection requirements for the elevator.  The State requires an inspection of the elevator once per year.  The state inspector said that the phone in the elevator could be programmed to call 911.  This arrangement would save $242 per year that is currently spent to monitor the phone line.  If the City of Idaho Falls were to get too many calls, we can address this at a later time.  Mike also questioned the need to spend over $2000 a year on a maintenance contract for the elevator.  Additional research will be conducted this next month to understand what services are provided under the maintenance contract for the elevator and whether other more affordable service providers may be available in the city.

The main portion of the meeting was opened with prayer by Richard at about 8:00 pm.

Minutes:  Minutes from the July 16, 2013 meeting were reviewed and approved.

Board of Trustee Members:  Selection of a new Trustee Chairman was postponed until next month when more members should be present.

Church Use Requests:  No new church use requests were received since the last Trustee meeting.  Am  copy of the current church use policy was distributed to the trustees after the last meeting.  The Trustees continued the discussion from last month about encouraging the use of the sanctuary at the market rate for non-member weddings.  This could be a way to raise additional funds for the church budget.  The Trustees did not come to a consensus and the chairman will bring raise the question at the next Church Council meeting.

Review of Church Finances & Trustee Budget:  The Trustee Chairman contacted a member of the Endowment Committee to clarify the rules for use of the Skelton Fund for emergency maintenance at Trinity.  The Endowment Committee member will inquire about the Skelton Fund.

Discussion of Annual Schedule:  The annual schedule calls for prioritization of maintenance needs, which is an on-going topic of discussion by the Trustees.

Status of Parsonage Jobs:  No new issues since the last Trustee meeting.

Trinity Repairs/Maintenance:  The Security System was installed last week and is operational.  Two support stands have been ordered to make the desk-based viewing stations easier to see.  These will cost an additional $88.  The installers from OMNI Security were able to confirm that the fire alarm pull boxes at Trinity are the new (more reliable) BG-12 models.

The Trustees discussed the carpet at the entrance to Trinity.  The Trustees continued the discussion about cleaning the carpet inside the entryway and installing a variegated outdoor carpet outside the main entry.  Trustees are still looking into the cost of another box of carpet squares and the variegated carpet.


The Maintenance Engineer completed the repair of several shingles that had blown off the west end of the sanctuary roof.  The Trustees discussed the prioritization of the major maintenance projects and possible ways to approach them.  Mike has contacted Wright Roofing to see if they had prepared a bid repair of the church roof last spring.  Wright Roofing is checking their records.  Options were discussed for obtaining information on installation of counter flashing on the roofs and re-pointing of the stonework.  In order to inform the congregation of some of the maintenance issues, Mike offered to bring a man lift to Trinity so that the Trustees can readily inspect the stone and roofs.  He also offered to operate the man lift on Sunday, September 15, 2014, so that church members can see the roof and stone structures, too.  Trustees will be available for a walkabout to explain and inform members of the maintenance issues at Trinity.

Insurance:  The Trustee Chair was not successful in locating the receipts for the purchase and installation of the carpet at the parsonage.  Jeff B. needs to submit the receipts for reimbursement from the insurance company.

Memorial Funds:  A copy of the most recent bank statement for the memorial fund needs to be provided to the church treasurer.

Other Business:  No other business was identified.
